APPROVE CAPITAL SOFTWARE PURCHASE FOR UPGRADE TO CITYWIDE TRAK IT DATABASE SYSTEM IN THE AMOUNT OF $25,710.00

 

Background

The Trak It database system is used by the Building Department, Community Standards, City Clerk’s Office, Engineering, Public Works and Police Department, for issuing permits, city licenses, rental licenses as well as tracking all building, fire, housing and code enforcement inspections and corrections notices.  This will provide needed upgrades to our Utility and Maintenance (WUM) portal as well as allow for the integration with our web page to provide online permitting and scheduling abilities.  It will also provide interfacing with IPads for use in the field during inspections which will increase productivity by reducing the amount of time an inspector will spend doing data entry documenting inspections.

 

A Capital Improvement request for $30,000.00 was granted in December 2015 as part of the 2016 Capital Budget for this upgrade.  The IT Director and GIS Coordinator who were the primary parties responsible for the upgrade, both left employment with the City mid-year 2016, which resulted in the purchase being delayed.  Once new IT Director Grosse was appointed, he and Community Standards Director Fiske worked with SunGard Public Sector to obtain updated quotes.  Four separate quotes totaling $25,710.00 were received mid-November. However, they were not able to be reviewed and processed prior to the end of 2016.  Finance was consulted and adequate funds remain in the Capital Fund to complete the purchase in 2017.

 

Recommendation

By motion, approve the purchase of Trak It database software upgrades totaling $25,710.
