Background
With the adoption of the 2013 Capital Budget, Council appropriated the funding for the replacement of a large format multifunction printer.  Pursuant to the City Charter, Sec. 6.05, staff is now requesting City Council approval for the actual purchase of the printer.  
 
We have researched the new printer with these factors in mind:  how it will be used, ease of use, ease of maintenance, and cost of supplies.  The new printer will have the same basic functions as the current model, plus the ability to scan documents in color.  Several departments use the printer for scanning plans for archiving use.  The current printer was purchased in 2001.
 
The following two quotes (with tax) were received:

There was $20,000 budgeted for this purchase.
 
We currently do not have a maintenance contract on the existing printer because of the reliability and low maintenance needs, and do not propose to have one on the new printer.  Based on current use, a maintenance contract would be $115 per month (includes paper and toner) for the new printer and this contract can be added at any time we own the printer.
 
Recommendation
By motion, approve the purchase of a KIP Large Format Scanner, Printer, Copier, for $18,163.41 from CES Imaging, Brooklyn Center, MN.
