APPROVE CONTRACT WITH CIVICPLUS FOR WEBSITE REDESIGN AND MANAGEMENT
Background
Earlier this year, staff solicited proposals for a website redesign and development project. Of the three proposals received, one was incomplete and not responsive to the City’s need for a comprehensive package that would allow for greater staff control of day-to-day content and management. Of the two remaining proposals, staff is recommending Council select CivicPlus, the least expensive and, in staff’s opinion, the most comprehensive responder to the City’s RFP.
The redesigned site will be a hosted site which will allow for the reduction of capital equipment (a web server) and the continued operation of the City’s website in the event of an emergency. The selection of CivicPlus would also allow for the consolidation of a number of website tools and services as well as all social media outlets (Facebook, Twitter, etc.) This consolidation would provide annual savings of just over $28,000. In addition to cost savings, the consolidation would also free up network resources through the outsourcing of a data server. A cost comparison of the two responders indicates that over the first four years of operation, CivicPlus would provide a net cost savings of $11,250 while Vision would have a net cost of $37,100 over four years.
